Data Deletion Instructions

This page explains how to remove your personal data from QueueIn, the queue management platform used by clinics, cafés, restaurants, and other establishments ("Businesses") whose queues you have joined. Use this page if you have ever shared your name or phone number with QueueIn — for example by joining a queue, opting in to WhatsApp notifications, or signing up for a Business's VIP / loyalty list.

Quick summary For non-VIP queue entries, QueueIn automatically minimises directly identifying name and contact fields after the entry is inactive and at least 24 hours old. Pseudonymous queue and operational records may remain longer. If you joined a VIP list or want an active review, email [email protected] with the subject line DELETE-MY-DATA and the details listed in section 3.

1. What auto-deletes (no action needed)

Your party size, queue number, status, and timing These are queue-operational records and may be retained longer in pseudonymous form.

Waiting-link credentials Waiting links stop working when their queue entry becomes inactive or its queue closes. Legacy signed links additionally expire after 24 hours. Short-link credentials are subsequently cleared from QueueIn's primary database by scheduled retention cleanup.
Active WhatsApp messaging authority Expires immediately when QueueIn processes STOP or another supported withdrawal keyword; otherwise at the applicable session expiry or queue closure.

If you only joined one queue and did not opt in to a VIP list, directly identifying fields will be minimised automatically. You can still ask us to review remaining records.

2. WhatsApp opt-out

If you opted in by sending the pre-filled Track <token> message from your waiting page, you can stop receiving WhatsApp updates at any time by:

QueueIn processes a supported withdrawal across every active QueueIn WhatsApp session for that sender under the same WhatsApp Business Account. It does not remove you from any queue. QueueIn-held minimised consent and withdrawal evidence is scheduled for hard deletion from the live/primary database no later than 72 hours after the applicable event. QueueIn cannot promise deletion of Meta/provider copies or verified deletion from backups.

3. How to request full deletion

Use this if you joined a Business's VIP / loyalty list, if you want your historical queue records actively scrubbed, or if the auto-cleanup window has not yet elapsed and you want us to act now rather than wait.

  1. Email [email protected].
  2. Use the subject line: DELETE-MY-DATA.
  3. In your first email, include only:
    • The type of request you want to make.
    • A broad description of the requested scope.
    • Your preferred reply channel.
  4. Do not send a full phone number, identity-card or passport details, medical or clinic information, waiting-page tokens, screenshots containing personal data, credentials, or message contents in your first email.
  5. We will acknowledge your request within 7 days and explain the minimum verification needed. We will not confirm whether a matching record exists before identity or authority is verified. Once verification and scope approval are complete, eligible records are soft-deleted immediately and then permanently purged from our systems within 30 days of soft-deletion.
Why verification happens later We use the minimum information needed for the request and an already trusted channel where available. A matching name or phone number alone is not enough. If the Business controls the queue record, we may ask its verified contact to confirm your authority before QueueIn provides technical help.

4. What gets deleted vs. what we keep

Queue privacy-notice acknowledgement Minimised and retained only for the applicable queue-operational, security, complaint, and legal-accountability purpose.
Security and audit logs (sign-in attempts, abuse signals, breach evidence) Retained for the period required for security or legal purposes. Routine logs are deleted on a short rolling cycle.
Aggregated, de-identified statistics (e.g. average wait times) Retained — these no longer identify you.

5. Alternative: ask the Business directly

Each Business that uses QueueIn can also remove customer records from its own dashboard. If you remember which Business you joined, you can simply ask their staff to delete your record and they will be able to do so. Either route — emailing us, or asking the Business — works.
